Job Title: Business Administrator 

Reports To: Minister/CEO 

Position Status: 0.8 FTE, Exempt. The Business Administrator position is 32 hours per week.

On-site Work Expectations: Normally expected to be on-site during regular business hours, but some requirements for a presence on Sundays mornings (Sept to June) and some evening meetings. COVID-19 NOTE: On-site work will remain limited throughout the current pandemic and until such time as access to the church facilities are safely expanded to more regular use by the parish. 

At FRS the Minister is focused on the Vision, Mission, and Spiritual direction of the congregation, and the Business Administrator (BA) is focused on the integration and execution of the business, finance, and administrative opera-tions to meet the direction of the church. 

Part of an eight -member professional team, the BA works in partnership with the Office Administrator (0.8 FTE) and sexton to carry out essential tasks related to financial administration and management, day-to-day office op-erations and facilities usage. The primary focus of the BA is on the material elements of congregation life. The BA is responsible for managing the church’s business affairs and working with the Minister, church members (including Parish Board and Treasurers) and staff to ensure the parish’s smooth functioning. 

The BA plays a crucial role in the church’s management process, including oversight of church facilities’ physical maintenance and utilization. The BA will participate in decision-making that affects church operations and strate-gizing based on analysis and financial/membership data and trends. 

Core Responsibilities 

FINANCIAL ADMINISTRATION & MANAGEMENT 

  • Develop and manage the annual budget with input from the Minister, Parish Board, Finance, Trustees of the Endowment, Stewardship and other committees. 
  • Develop and maintain all financial reporting. 
  • Monitor and make recommendations on financial matters to the minister and all appropriate boards and committees. 
  • Collaborate with the internal auditor for bi-annual review. 
  • Review and negotiate contracts related to operations, office administration, insurance, and record keeping. 
  • Complete timely completion of the periodic payroll; financial record-keeping; payment of taxes and filing of related reports; any other accounting services that might be required. 
  • Oversee the timely and accurate accounting functions as carried out by the Office Administrator including ac-counts payable; receipt, collection, and timely deposit of church funds, and tracking of donor pledges.

STEWARDSHIP MANAGEMENT 

  • Recruit and support church lay leaders in the stewardship activities of the church including the planning and execution of the annual campaign and other fundraising programs. 
  • Develop, modify, and oversee donor pledging and giving processes as needed. 
  • Recruit and support church lay leaders in the Alternative Revenue Team to identify and implement new and additional sources of revenue. 
  • Ensure alignment of the annual budgeting process with the goals of the Stewardship Team’s goals and objec-tives. 

PERSONNEL MANAGEMENT 

  • Manage administrative personnel (Sexton and Office Administrator). 
  • Administer HR functions for staff including onboarding new employees. 
  • Work with the Board’s HR Subcommittee to review benefits packages and suppliers: Recommend changes as needed. 
  • Ensure compliance with labor laws and practices. 

FACILITIES MANAGEMENT 

  • Oversee Sexton, who is responsible for facility maintenance needs. 
  • Partner with sexton to obtain bids, negotiate contracts, and oversee vendors hired to perform needed services, including but not limited to IT and facility maintenance. 
  • Managing any facility leases and relationships with property tenants (currently one cell tower lease). 
  • Partnering with the Minister, Parish Board, and ad hoc facilities teams to plan for facilities upkeep, renovation, and/or expansion needs. 

OVERALL PLANNING & EXECUTION 

  • Work as a member of a collaborative staff team and with the Minister and the Parish Board to develop creative and adaptable solutions to the evolving issues that a diverse and growing congregation encounters. 
  • Develop, plan, and implement programs to support FRS’s overall vision and mission. 
  • Follow trends and developments regarding church operations to assess the impact upon the church, its finances, and programs. 
  • Provide strategic leadership and staff support to the Minister, Parish Board and church committees related to church finances, stewardship, and other fundraising programs. 
  • Ensure that organizational policies and procedures are aligned to support the success of FRS. 

Required Knowledge, Skills, and Abilities 

The BA should have the following knowledge and skills: 

  • Bachelor degree or equivalent in a related field(s) 
  • 5+ years of relevant work experience 
  • Prior office supervision and personnel management experience 
  • Strong strategic thinking skills 
  • Strong written and spoken communication skills 
  • Church/non-profit experience with non-profit accounting training is highly desirable 
  • Demonstrated financial systems and operations skills 
  • Demonstrated ability to work effectively and collaboratively in a team 

First Religious Society Unitarian Universalist, Newburyport

  • Sufficient technology and computer skills, including commonly used software, e.g., MS Office applications and QuickBooks 
  • Ability to organize, manage, and carry out administrative tasks on time 
  • Flexibility to adjust to variations in workload and demonstrated ability to manage multiple projects in an effi-cient manner 
  • Familiarity with policy governance in churches is a plus 

Compensation 

The annual salary for this position is based on the Unitarian Universalist Association’s (UUA’s) recommended sal-ary range for a “Business Administrator” in a “Mid-Sized III” UUA congregation in Geo Zone #4, prorated based on a 0.8 FTE position. 

The prorated salary range for this is $55,050 – $60,000/year based upon the successful candidate’s qualifications and experience. FRS offers a generous program of benefits, including health and life insurance and a retirement benefit (prorated for a 0.8 FTE position).
